Membership and Events Assistant
Part-Time: 5-15 hours/week, $20/hour
April through September
Reports to: Operations Manager
Introduction
Interested in a flexible, part-time position supporting one of the country’s largest state-level mountain bike advocacy organizations? VMBA is looking for a seasonal Membership and Events Assistant.
Summary of Position
The Membership & Events Assistant will play a dual role in supporting VMBA’s membership fulfillment operations and community event presence. In the first half of the season, this role will focus on ensuring membership materials are packaged and sent to VMBA Members in an accurate and timely manner. As the riding season ramps up, the role shifts toward representing VMBA at events across the state, serving as a front-line ambassador to promote awareness of and membership in VMBA.
This is a seasonal position beginning in early April and running through late September. The role will work closely with both the Operations Manager and the Programs & Partnerships Manager. Work location is split between our Waterbury office for membership fulfillment and administrative tasks, and event venues across Vermont during the riding season. A majority of events are scheduled for evenings and/or weekends. Compensation is $20/hr. Schedule will range from 5-15 hours per week, with fluctuations based on the event calendar.
Duties & Responsibilities:
Membership Fulfillment
- Coordinate working hours with the Operations Manager on a flexible schedule
- Pack membership packets according to each membership tier’s parameters and established protocols
- Weigh, post, and drop membership packets and online store orders at the post office in a timely manner
- Track and communicate fulfillment progress with the Operations Manager
- Provide feedback on ways to improve the fulfillment process
- Assist with additional shipments, such as donor gifts, as needed
Events & Community Outreach
- Work with the Programs & Partnerships Manager to develop an event attendance schedule
- Attend in-state mountain biking and outdoor events to drive membership, raffle campaigns, and awareness of VMBA
- Represent VMBA as an enthusiastic and knowledgeable point of contact with the public
- Work closely with local Chapters to help on-site at their events
- Keep an event-specific log of all revenue and expenses, and support processing with the Programs & Partnerships Manager
- Maintain event equipment and booth materials, including membership collateral and signage
- Maintain strong relationships with vendors, partners, and event hosts
- Post stories on VMBA’s social media channels during events
- Have fun and spread the stoke for trail riding!
Office & Administrative Tasks
- Participate in regular check-ins with the Operations Manager and/or Programs & Partnerships Manager
- Attend staff meetings as needed
- Support good documentation, organization, and records management throughout both phases of the role
Desired Skills & Abilities
- Willingness to work some nights and weekends for certain events
- Strong attention to detail with the ability to manage time effectively and adhere to established procedures independently
- Excellent interpersonal skills and ability to connect with a diverse range of audiences — riders of all ages and abilities, sponsors, and partners
- Experience and enthusiasm for outdoor events, from small group rides to large festivals
- Ability to clearly articulate VMBA’s mission and values
- Flexible, dependable, and strong time management skills
- Prior experience helping put on or participate in events
- Ability to travel to different parts of Vermont and physically set up/take down event equipment (pop-up tent, weights, tables, and associated gear)
- Sense of humor and desire to work in a fun, collaborative team environment
- Passion for making Vermont the best place in the country to mountain bike!
